Office assistant vs. Sachbearbeiter — reading German titles
A practical guide to how Assistenz, Empfang, and Sachbearbeitung vacancies differ so you stop applying to roles that will filter you out.
German office postings reuse familiar words with different expectations. Misreading a title wastes a week of tailored Anschreiben. Here is a working distinction we use in consultations.
Assistenz / Office Assistant
These roles usually mix calendar ownership, correspondence, meeting support, and light coordination across a team. Employers look for discretion, reliable follow-through, and comfort with common office software. Travel or event support appears in some postings but is not universal.
Empfang / Reception
Front-of-house work emphasises visitor handling, phone triage, parcel logs, and representing the organisation’s tone. Multilingual requirements are more common here than in pure back-office Assistenz. Standing time and fixed desk coverage matter; remote options are rare.
Sachbearbeitung
Processing roles centre on a defined case type — invoices, member files, claims, permits. The posting often names a system or regulation. If you lack domain exposure, say so honestly and highlight adjacent process discipline rather than forcing a perfect match.
