What German employers look for in administrative CVs
How office hiring managers skim Assistenz and Empfang CVs — length, evidence, and the sections that decide whether you get a call.
Administrative vacancies in Germany often attract dozens of applications that look interchangeable. The CVs that earn a call usually make three things obvious in the first half page: which office title you are aiming for, which tools and routines you already handle, and whether your experience matches the vacancy’s hours and language needs.
Lead with the role family
Open with a short profile line that names Assistenz, Empfang, or Sachbearbeitung rather than a poetic summary of being “organised and motivated.” Recruiters searching PDF text also benefit from German and English title synonyms placed near the top.
Evidence beats adjectives
Replace “strong communication skills” with a concrete example: managing a shared inbox of a stated volume, coordinating room bookings for a team of a stated size, or preparing monthly expense packs. Numbers do not need to be dramatic; they need to be believable.
Keep Zeugnis language readable
If you list Arbeitszeugnisse, note the period and function clearly. Employers of administrative staff often cross-check dates more carefully than creative portfolios require.
Length
Two pages are acceptable for longer office careers; one page can work for early roles. A five-page narrative rarely helps Empfang hiring.
